The Simple Tech Stack That Powers My Online Business
Running an online business doesn’t have to mean juggling dozens of different tools and systems. In fact, I believe the opposite: the simpler your tech stack, the smoother everything runs. I’ve built my business around a small number of tools that work beautifully together — no overwhelm, no wasted time, and no unnecessary apps.
Here’s a look behind the scenes at the tools I actually use every day — and why they’ve earned their place in my business.
Why I Keep My Tech Stack Simple
Tech should make your life easier, not more complicated. When I first started, I fell into the same trap many business owners do — trying out every shiny new tool, overthinking integrations, and creating systems that felt more like a burden than a solution.
Now, I keep things as fuss-free as possible. My rule? Only use what you actually need — and make sure each tool works with the others, not against them.
My Core Tools
Here’s the full list of what powers my business day to day:
Website: Squarespace
Squarespace is my go-to — for myself and for clients. It’s clean, reliable, and quick to set up. Whether I’m building a one-page site or a full digital hub, it’s flexible enough to grow with your business and simple enough that clients can confidently update it themselves.
Email Marketing: Squarespace Email Campaigns
Keeping email marketing under the same roof as my website makes everything easier. With Squarespace Campaigns, I can design beautiful emails that match my brand, set up automations for welcome sequences, and manage everything in one place. No need for extra platforms.
Client Management: Dubsado
This handles all my onboarding, proposals, contracts, and invoices. It saves me hours each week and means I never have to chase paperwork. Everything feels smooth and professional from the very first interaction — for me and my clients.
Task Management: Apple Reminders + Bullet Journal
I use Apple Reminders for anything time-sensitive (like sending follow-ups or client check-ins), and a trusty bullet journal for day-to-day planning. Rapid-logging helps me stay focused, and I like the balance between digital and analogue. Simple, but effective.
File Storage & Design: Google Drive + Canva
Google Drive keeps my business files organised, and Canva is where I create all of my branded graphics and templates. I use folders to stay on top of assets for each project and keep everything streamlined for reuse.
Video Walkthroughs: Loom
I use Loom to record quick tutorials or system walkthroughs for clients. It’s an easy way to explain techy things visually — especially when I’m handing over a website or showing how a workflow works.
Automation: Zapier
Zapier is my go-to for creating simple automations between tools — like sending a form submission straight into Dubsado or triggering an email sequence after a purchase. I only use a handful of Zaps, but they save me time and prevent things from slipping through the cracks.
The Tools I Don’t Use (And Why)
There are plenty of tools I could use, but don’t. I don’t use a separate course platform, social media scheduler, or complex automation tools. Not because they’re bad — but because I don’t need them.
I already use Dubsado as my CRM and Zapier for lightweight automation, which covers everything I need without the clutter.
If a tool doesn’t save me time, reduce stress, or integrate smoothly into my workflow, it doesn’t make the cut.
Simple Systems > Shiny Tools
A streamlined system beats a bloated tech stack every time. By keeping things clean and cohesive, I save time, reduce decision fatigue, and focus on doing the work that matters.
✅ Less to manage
✅ Less to break
✅ More time to actually run my business
